Booking Terms and Conditions
Please read the following Booking Terms & Conditions carefully. By making a booking, you agree to the terms outlined below.
Booking Process:
To begin the booking process, a non-refundable deposit of NZD $100 per person is required. This deposit is part of your total payment and confirms your acceptance of these terms and conditions.
Booking Forms:
To ensure your holiday is memorable, we are happy to work with you to create a customised experience that meets your needs. We require some basic information to get started, including:
- The number of people in your group
- Start and finish dates
- The package trip you wish to cycle
- Whether you would like to upgrade to e-Bikes (if applicable)
- Preferred level of accommodation (if applicable)
Once we receive this information and your NZD $100 per person non-refundable fee, we will start the booking. Once the trip is confirmed, the trip coordinator (the person we have been in contact with) will then receive a Booking Form outlining the inclusions and pricing.
The remainder of the 30% deposit is then required to confirm the booking.
At this stage, many clients choose to book their flights and travel insurance.
Changes to Bookings:
- Any changes to bookings after the deposit has been made will incur a minimum NZD $50 alteration fee per person. This includes changes to client names or the addition of new dietary requirements.
- No fee will be charged if you wish to add additional services or increase group numbers, as long as the existing arrangements remain unchanged.
Cancellations:
We understand that unforeseen circumstances may require you to modify or cancel your booking. We send our Cancellation Policy at the time of booking for your reference.
- While we sympathise with situations beyond your control, we must adhere to our Cancellation Policy. We are happy to provide any necessary documentation for you to submit to your travel insurer, should you wish to claim for any losses.
- Travel insurance is strongly recommended to protect against cancellations and unforeseen circumstances that may prevent you from proceeding with your booking.

Bike Equipment Rental:
- All cycling equipment provided by Outdoor Samoa is specifically suited for the trails and roads we operate on. By making a booking for rental equipment, you agree that the equipment will be used solely for cycling on designated trails, sealed or metal roads, or formed cycle trails in the local area. Any mis-use or failure to comply will result in the renter being liable for repair or replacement costs.
- Outdoor Samoa ensures that all rented equipment is in good working order at the beginning of the rental period. The renter is responsible for inspecting the equipment upon collection and reporting any issues immediately. If any damage or malfunction occurs during the rental period, the renter agrees to cover the cost of repairs or replacement.
- Only Outdoor Samoa staff or authorized agents are permitted to carry out modifications or repairs to the rented equipment. The exception to this is basic adjustments such as seat height or the replacement of a punctured tube.
- Should any additional repairs be required beyond basic adjustments, the renter must contact the Outdoor Samoa Depot for advice or arrange for a replacement.
- By confirming a booking that includes rented equipment, the renter agrees to these terms and takes responsibility for any excessive wear, damage, or breakages. Outdoor Samoa will invoice the renter for any necessary repairs or replacement costs post-rental.
Kayak and Snorkel Equipment Hire:
Outdoor Samoa supplies kayaks, paddles and PFDs (personal flotation devices) for the intended use of kayaking as part of the Turtle Kayak experience. Outdoor Samoa also has snorkel equipment available for hire. All equipment has been checked prior to each hire and is deemed fit for purpose.
- The renter is responsible for inspecting the equipment upon collection and reporting any issues immediately. If any damage or malfunction occurs during the rental period, the renter agrees to cover the cost of repairs or replacement.
- Snorkel equipment can be easily damaged if not used with care and if not used for its intended purpose. Damaged equipment upon return will be charged for.
- By confirming a booking that includes rented equipment, the renter agrees to these terms and takes responsibility for any excessive wear, damage, or breakages. Outdoor Samoa will invoice the renter for any necessary repairs or replacement costs post-rental.
